Requesting a quote requires a few more steps than Direct Bookings, but it works similarly in principle.
This article contains information on how renting works in the common case of a single requested piece of equipment.
Renting works slightly differently in the case of multiple pieces of equipment. For that, we refer you to the article "Requests with multiple pieces of equipment".
When you click through to the page of a specific order, you'll see an overview similar to the one above. Alongside the familiar information from direct bookings, you'll also find your sent quotes and, below that, the equipment for which a new quote can be sent. We try to show, with a calendar view, whether there are already scheduled orders or outstanding quotes through Bullswap.
Click on the blue button to create a quote for the selected piece of equipment.
If you're missing a piece of equipment or if you have equipment that can do slightly more or less than what's requested, you have the option to search for and add an alternative. For example, you can offer a boom lift in response to a request for a telescopic handler.
If you use an alternative unit in your quote, the renter will automatically see a note about this.
Creating a quote
If you do have a piece of equipment available but cannot deliver on the requested dates, there’s an option to propose an alternative period.
If your equipment is divided into individual units, you can select the applicable unit. This is necessary to show correct availability, inspection and tracker information on the platform.
Fill in all rates and review the automatically filled-in rates. Ensure that all red "incomplete" fields turn green and are complete.
Modify the rental rates if needed. The applicable rate is always highlighted in yellow. The total price will automatically adjust. Important: Always fill in all three rates. If the rental period changes, the price will automatically adjust. If one of the values remains at 0, you could end up charging nothing if the rental period is extended.
No transport?
If transport is not requested, select the correct location of the equipment under "Equipment Location." Don’t see the desired location? Add a depot via Machinery > Depots.
The customer will receive an order confirmation, which they may use as proof of order upon pickup.
Provide any necessary comments (e.g., additional information about your equipment).
If the renter requested transport, be sure to enter transport rates. If you've set up transport zones in Bullswap, these will be automatically filled in. Please review these.
Accesssories
- Depending on the type of equipment, accessories may also be required. Be sure to include the requested accessories.
- If you don’t have the requested accessory, uncheck the box.
- By clicking the pencil icon, you can also modify the standard rates of your accessories.
- If you have an alternative accessory, you can add it to the quote by selecting the accessory and entering the correct price.
Note: always enter day, week and month rates so when the rental period changes, the price remains correct!
Fixed Fees
You can add fixed fees if necessary. These fees must not include equipment rental, accessory rental, transport costs, operator fee, kilometer surcharges, insurance, or fuel. Fixed fees are charged to the customer only once.
Additional Costs
Once the transaction is completed, you can always add additional costs like fuel. Note: Any damage must be handled by us and cannot be added to the invoice this way. Please inform us if damage occurs so we can handle it (due to VAT, etc.)
Requests with an Operator
For requests with an operator, you must enter the operator's hourly rate. An estimate of 8 hours per requested workday is automatically calculated, and the total hours and price are generated. You can adjust this estimate immediately by clicking the pencil icon. Once your quote is accepted, you can continue to modify the operator’s hours per day and provide any additional descriptions.
Final Steps
Once the total price is correct, agree to the terms and conditions, and click "Send Quote." The customer will be notified. Your sent quote will now be visible under the request under "Quotes" and can always be withdrawn.
What to Expect After Sending a Quote
Before the customer agrees you'll notice the order has moved to "Answered requests".
Clicking on the order will show the request in more detail and will also include your quote.
Once the customer agrees, you’ll be notified via email (and on the website), and you can proceed to book the equipment. The request will then be under "Hired out."
